What the AI Email Generator does
This tool writes a first draft of an email from a short statement of what the message needs to achieve. It is designed for everyday professional messages, such as requests, follow-ups, updates and apologies, where you know the point but want the wording to come out clearly and at the right length.
How to use it step by step
- What the email needs to say: write the request or message in plain words. Include the reason and any deadline. This field is required.
- Recipient: optional. Name the role or relationship, such as "manager" or "new client", so the tone fits.
- Tone: choose Professional, Friendly, Direct or Apologetic. Direct is useful for short instructions. Apologetic suits a message where you have made a mistake.
- Length: choose Short, Medium or Detailed. Short is best for a quick reply.
- Your name or sign-off: optional. Enter the name you want at the end of the email.
- Press Write email, then read the draft and copy it.
An example
Example input and expected output only, not a recorded result. For the purpose "Ask my manager whether I can move the Q3 report deadline by one week because the client data arrived late", the recipient "Manager", the tone Professional, the length Short, and the sender "Alex", the draft should begin with a "Subject:" line about the deadline, followed by a brief body that states the request, gives the reason, and closes with Alex's name. The exact wording will differ from run to run.
Tips for editing the draft
- Put the request first. Readers who skim should see what you need in the opening sentence.
- Remove extra apologies. One clear apology is enough. Repeated apologies can make a simple request sound uncertain.
- Check the tone against the relationship. A message to a long-standing client may need a warmer opening than a note to a supplier you have never met.
- Confirm the details. Check every date, figure, name and attachment the draft mentions.
- Adjust the subject line. A specific subject, such as "Q3 report deadline request", helps the reader find the message later.
AI Email Generator – Frequently Asked Questions
What does the AI Email Generator return?
One complete email: a Subject line, a blank line, then the body. The purpose you enter is sent to an AI model along with the recipient, tone, length and sender name. Length controls how much detail the email includes, and tone controls the wording.
What should I check before I send a draft?
Check names, dates, amounts and any attachments the email mentions. Make sure the email asks for exactly what you want, and that the subject line matches the body. A draft is not automatically accurate for your situation.
Can I send the draft without reading it?
No. Always read and edit the draft before sending, especially for legal, financial, medical or disciplinary messages, where the wording matters a great deal.
Is what I type stored anywhere?
Your text is sent to an AI model to produce the draft. FreeToolsHub does not save what you enter in this form to its database. Leave out sensitive personal data you would not want shared with an AI service.
How long can the purpose be?
The purpose field accepts up to 1,200 characters. Keep it to the key facts and the request. Longer background can be summarised in a sentence.
